Privacy Policy

This policy covers information we collect for our own website and sales, and the different role we have when a client asks us to follow up with suitable past enquiries on its behalf.

1. Who we are and our roles

Reconnect by Area Leaders is a service of Qwualiti Ltd, trading as Area Leaders. Our website is reconnect.arealeaders.co.uk and our contact email is hello@arealeaders.co.uk.

We have two different data-protection roles:

  • Controller: when you visit this website, book a call or deal with us as a prospective or current client, we decide why and how that information is used.
  • Processor: when a client gives us access to its past enquiry records and asks us to run agreed follow-up, the client decides the purpose and lawful basis. We act on its documented instructions under a data-processing agreement.

2. Information from this website

We may receive your name, business name, email address, phone number, booking details and anything you choose to tell us. Our hosting and security providers may also create technical logs containing an IP address, browser, requested page and time of access.

We use this information to respond, arrange calls, prepare proposals, provide the service, keep our systems secure and meet legal or accounting duties. Depending on the context, our lawful basis may be taking steps at your request before a contract, performing a contract, complying with law or our legitimate interests in operating and protecting the business.

3. Information handled for clients

A client may give us limited access to records connected with people who previously enquired about its services. These may include a name, contact details, the source and date of the original enquiry, the service requested, notes, message history, opt-out status and later replies.

We use that information only to check the agreed group, prepare and send permitted follow-up, manage replies, record opt-outs, apply the qualification rules and return relevant opportunities to the client. We do not decide that an old record can be marketed to simply because it exists. The client must confirm the proposed use and contact route are lawful, and we exclude records that do not pass the agreed checks.

Clients should not provide payment-card information, health information, criminal-offence information or other special-category information unless we have expressly agreed a necessary and lawful process in writing. The standard Reconnect service is not designed to use those categories.

4. How AI assists the service

AI may help personalise a message from supplied context, classify the likely meaning of a reply, draft a straightforward response and identify when a conversation appears to meet the client's written rules. Its access is limited to the information needed for that task and it works inside instructions and guardrails set for the campaign.

Uncertain, sensitive or out-of-scope replies are escalated rather than answered freely. The service is not intended to make solely automated decisions that produce legal or similarly significant effects about the people contacted.

5. Who information is shared with

We may use carefully selected providers for:

  • website hosting, security and appointment booking;
  • customer-relationship management and campaign workflow, including HighLevel;
  • email, text messaging, telephony and delivery infrastructure;
  • AI processing used to assist message preparation and reply handling;
  • professional advice, accounting, insurance or legal compliance.

Providers receive only the information reasonably needed for their role and are subject to contractual and security requirements. We may also disclose information where required by law, to protect legal rights or in connection with a business reorganisation.

6. International transfers

Some technology providers may process information outside the United Kingdom. Where UK adequacy regulations do not cover the destination, we use an appropriate safeguard such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism, together with any supplementary measures reasonably required.

7. Retention and deletion

We keep website and sales records only for as long as needed for the purpose collected, our relationship with you and applicable legal duties. Client enquiry data is kept according to the client's documented instructions and the retention period in the service agreement, then returned, deleted or anonymised as agreed.

A limited suppression record may need to be retained so a person who opted out is not contacted again. Backups and security logs may take a short additional period to cycle out securely.

8. Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to processing, receive portable information, withdraw consent and complain to a regulator. These rights are not absolute and the law may permit or require us to keep certain records.

If your request concerns follow-up sent for one of our clients, that client is normally the controller. Contact it directly if you can. We will pass on or assist with requests we receive as its processor.

9. Security

We use proportionate organisational and technical measures, including access controls, limited permissions, supplier checks, secure transmission where available, staff confidentiality and incident procedures. No internet service can promise absolute security, but we investigate suspected incidents and notify affected clients or authorities where the law requires it.

10. Changes

We may update this policy when the service, providers or law changes. The latest version will remain on this page with its update date. We will highlight a material change where it would be unfair to rely only on the page update.

Email privacy questions or requests to hello@arealeaders.co.uk. You may also complain to the UK Information Commissioner's Office. We would appreciate the chance to resolve the issue first, but you do not have to contact us before the ICO.
